09-11-2017 HISTORICAL AND CULTURAL ACTIVITIES COMMITTEE Minutes for September 11,2617 The meeting was called to order at 6:10 p.m.by Chairperson Pauline Grant. Those also present were Ann Petta, Frances Carter,Shelly Rosenkild, Martha.Monteon and City Clerk, Debra L.Thomas. Masako Gifford, Martina Boentaran,and Susan Robles were absent. SECRETARY'S REPORT: The minutes fortune 5,2017 were read and approved with corrections by Ann and seconded by Shelly all in favor. TREASURER'S REPORT: Masako's report was presented to the committe by Pauline. The new fiscal budget for 2017-2018,shows a balance of$600.00 and a petty cash of$561.29. HISTORICAL REPORT: The Terrace View Elementary School keeps updating the display glass case in the lobby of City Hall. OLD BUSINESS: Art Show Reimbursement-from Masako to Shelly$10.76 for balloons and$16.52 reimbursement to Frances for punch,ice and water. Masako's expense for tablecloths,cups and gloves was$63.67 which will be reimbursed from the 220 account. -7.sv �y 5A;m broughtthe photos that Mr.Bill Nessel took for the Art Show and they will be shared at our next . meeting,including the photos that Shelly took. NEW BUSINESS: 36TH ANNUAL COUNTRY FAIR -Saturday,November 4,2017- 9 a.m.to 3 p.m. Ann will contact vendors and food contestants in person and by telephone and also will ask for gift donations. Shelly will update the Country Fair application flyer,and she will prepare the posters. Debra.is in charge of ordering the posters for the kiosks,and for internet and local cable tv announcements on channel 3. Susan is in charge of public advertisement in the local Newspapers.and requesting donations from local businesses for the oportunity drawing. Pauline is preparing the list of Judges and will purchase ribbons,blue and red dots for the food contest, if necessary,and will purchase doughnuts. Face painting,at the Country Fair will be done by Shelly. We need to purchase soda,water,ice and bring an ice chest. The Committee decided that next year we will have a meeting during the month of August. This year vendors will be allowed to unload next to their assigned space but they will have to move their vehicles immediately, right after unloading;no parking allowed,with no exceptions. The shady area-at the back of City Hall entrance has been reserved for the Committee. City Clerk, Debra informed us that the City Council and not City Manager, Mr. Harold Duffey,would like to select a Committee to help with the special events for 2018: The 34th Art Show,37th Country Fair and the 40th City Birthday Anniversary. The members of the committee have received a cordial invitation to attend the Volunteer Recognition Reception and Special Presentation Meeting from the City Council, which will take place on September 19,2017 at 5:30 p.m. in the Council Chamber.
