10-01-2018 HISTORICAL AND CULTURAL ACTIVITIES COMMITTEE Minutes for October 1,2018 The meeting was called to order at 6:04 p.m.by Chairperson, Pauline Grant. Those present were Ann Petta, Frances Carter,Shelly Rosenkild, Martina Boentaran,Shirley Hogue, Martha Monteon and City Clerk, Debra Thomas. Debra showed the Country Fair posters printed in orange and yellow to the committee, so we could choose the color for the big banners and the committee agreed on the yellow one. SECRETARY'S REPORT: The minutes for September 10, 2018, were read and approved on a motion by Frances and seconded by Ann;all in favor/MP. TREASURER'S REPORT: The Budget shows a balance of$1,000.00 and a petty cash of$807.16. Debra told us that the City is giving us an advance allowence of$500.00 dollars. However, to receive this cash advance, we need to submit a letter to the City of Grand Terrace requesting this allowance. HISTORICAL REPORT: The Terrace Hills Middle School has continued updating the display case in the City Hall lobby. Ann handed Shirley a copy of the Treasury's duty instructions,which were left by Masako. NEW BUSINES: 37th Annual Country Fair Saturday, November 3,2018 9 a.m.to 3 p.m. Shirley and Martha will be in charge of distributing the flyers to businesses throughout the city, two weeks before the event and Martina will make the signs needed. Shirley has made some supply purchases and will buy soda pop, water and doghnuts. Pauline will purchase ribbons for the food contests. The City will provide the coffee and set up of City's tables and canopies. The City Hall is open at 7 a.m.and maintenance crew will be there at 6:30 a.m. Debra informed us that Mr. Duffey has a couple of requests for our Committee: 1. He would like to introduce dignitaries at the time the awards are given. 2. On October 13th the City of Grand Terrace will be celebrating its 40th Birthday Anniversary and Mr. Duffey extended an invitation to the Historical and Cultural Activities Committee to participate with past photos or to have representation at the event. We appreciate the invitation but unfortunately, our Committee is still making preparations for the Country Fair event which is our biggest event of the year.
