HISTORICAL AND CULTURAL ACTIVITIES COMMITTEE
Minutes for September 10,2018
The meeting was called to order at 6:07 p.m.by Chairperson, Pauline Grant. Those present were
Ann Petta, Frances Carter,Shirley Hogue,Shelly Rosenkild, Martina Boentaran, Martha Monteon
and City Clerk, Debra Thomas.
Ann asked Debra, if we could have the second money box that belongs to the Committee and
Debra said, "she didn't know where the second money box was,but she would check on it; "
besides as she recalled the box only contained receipts and paper work.
Debra informed us,that the way expenses are covered from the allocated City budget is:
If the expense is in the amount of$50.00 or less the reimbursement is made in cash, but if the
expense is over$50.00 then is made with a check. Vouchers are no longer used.
SECRETARY'S REPORT: The minutes for August 1,2018, were read and approved on a motion by
Ann and seconded by Shirley;all in favor/MP.
TREASURER'S REPORT: The budget shows a balance of$1,000.00 and a petty cash of$807.16.
Shirley will make the inventory with help from committee members.
Shirley will be using her own money to purchase any items needed and will present the receipts
to the City of Grand Terrace, for reimbursement from the City money account.
HISTORICAL REPORT: The Terrace Hills Middle School continues updating the display case in the
City Hall lobby. Ann will be making phone calls to contact people who will be participating in
the chili cook-off, baking contests and vendors who will be selling their arts and crafts. She will
request a donation from Clark's Health Food Store and from Loma Linda Market for the
opportunity raffle.
NEW BUSINESS: 37th Annual Country Fair - Saturday, November 3,2018/ 9 a.m.to 3 p.m.
Shelly will update the Country Fair application form and guidelines; will create guidelines for
the scarecrow contest and Debra will make the copies. Shelly has our approval-to purchase face
paint supplies,a hay bale and balloons.
Martina will update the Country Fair poster and flyer which includes a new e-mail address
(GTcountryfair@gmail.com)and will send them to Debra to make copies. Martina will be in
charge of making a map to assign spaces for the vendors and other organizations who will have
tables in the City Hall parking lot. The poster prepared by Martina is already displayed inside
the Library window.
The City of Grand Terrace will advertise the Country Fair on the web page and Jessie will take
care of it.
The meeting was adjourned at 7:46 p.m.
