Minutes for August 1,2018
The meeting was called to order at 6:07 p.m.by Chairperson, Pauline Grant. Those present were
Ann Petta, Frances Carter, Martina Boentaran, Shirley Hogue, Martha Monteon and City Clerk,
Debra Thomas. Shelly Rosenkild was absent.
SECRETARY'S REPORT: The minutes for July 2, and July 18, 2018, were read and approved on a
motion by Ann and seconded by Frances;all in favor/MP.
Note: there is a discrepancy of$40.00 dollars in the amount of money counted on July 2,when
after the meeting was adjourned, Debra counted the money in the cash box in the amount of
$846.95. The cash box was held for safekeeping at the City of Grand Terrace' Office, for
counting and delivery to the new Treasurer. Debra gave the cash box to Shirley, but since the
meeting was over; Shirley had no opportunity to count the money. Masako's last Treasurer's
Report is in agreement with the minutes of May 7. The new balance on the petty cash account
is $807.16 as confirmed. Copy of minutes for May 7,Treasurer's Report for May and Petty cash
reconciliation were handed to each member.
TREASURER'S REPORT: Shirley will make the inventory.
Debra provided each member with a copy of the new Fiscal Budget report for 7/01/2018
through 6/30/2019. The new budget for next fiscal year is $1,000.00 in the 220 account; no
more separate accounts.
HISTORICAL REPORT: The Terrace Hills Middle School has continued updating the display case in
the City Hall lobby as usual.
Ann will start calling people for the chili and baking contests and other participants in two
weeks.
NEW BUSINES: 37th Annual Country Fair - Saturday, November 3,2018
Frances has 3 volunteers for the baking and food contests. Martina prepared a colorful poster
for the Country Fair and she will enlarge it; to post it between the community room and the
library entrance to improve advertisement.
